Build an application checklist with owners and completion checks

Track school documents, recommendations, forms and final results across institutions.

Create the checklist from official requirements

For each institution and course, identify the application route, entry year and applicant category. Read the current requirements before importing a generic checklist. Record every required item with its source. Examples can include forms, academic records, recommendations, tests, portfolios or written responses, but not every application needs each one. Keep programme-specific instructions visible. A useful checklist reflects your actual applications and shows what would make each complete, rather than presenting a long universal list that hides exceptions.

Assign each item an owner

Distinguish what you submit from what the school, referee, testing body or IB must send. Note dependencies and internal school dates. Ask potential referees before listing them and provide relevant information within the rules. Do not assume that inviting a recommender means their submission is complete. Give others reasonable lead time and check status respectfully. For school documents, confirm the process with your adviser. Ownership prevents an application from stalling because everyone thought someone else controlled the next step.

Use statuses that mean something

Track not started, requested, in progress, submitted and confirmed, adapting labels to the application. Define what evidence moves an item to complete: a portal receipt, a school confirmation or a status change. Keep deadlines for the application and supporting documents distinct. A green tick should reflect the real condition, not just your intention. Mark uncertain requirements for clarification. This system allows a quick review without opening every file or relying on memory about what you uploaded weeks earlier.

Try a worked checklist row

An illustrative row says: 'Final IB results; owner: coordinator or graduate using the applicable IB request route; recipient: institution or admissions centre confirmed by its instructions; completion check: request recorded and receipt checked when relevant.' Another row for a written response names the prompt, final file and portal confirmation. These entries are more useful than 'transcript' and 'essay.' They explain the task, owner and verification. The actual delivery process must follow the current IB and institution instructions.

Inspect documents and application previews

Open each file before uploading. Check readable scans, full pages, correct names and the version intended for that institution. Follow certification and translation instructions when required. Compare self-reported grades and courses with school records. Review the application preview for missing or truncated text. If a portal flags a document problem, investigate rather than repeatedly uploading the same file. Keep personal information in the appropriate official systems and preserve a clear record of submitted versions.

Continue tracking after submission

Applications can need updates, interviews, final records and responses to offers. Keep the checklist active until the relevant process is complete. Check official messages at a manageable interval and record actionable changes. If something appears missing, verify whether processing time or a real issue explains it, then use the institution's contact route. Do not submit unsolicited duplicates without checking. The final checklist should show what was sent, by whom, where it went and which obligations remain. That makes follow-up practical and reduces preventable uncertainty.
